Commuter Subsidy Program
Under Sana’s Commuter Benefits Subsidy Program (“Program”), Sana provides generous commuter benefit options for employees to get to and from work. These benefits are described below and in the drop down menus on this page.
REGULAR COMMUTER BENEFITS
Sana provides three options for regular commuter benefits. Employees are eligible for one option at a time per calendar quarter (e.g., if you sometimes park at a Sana location and receive the monthly parking benefit and other times decide to walk or bike to work, for a given calendar quarter, you are eligible for either the parking benefit or the reimbursement for walking or biking to work, but not both. You must commit to any particular option for a full quarter). For each option, employees are eligible to receive reimbursement of up to the maximum monthly or quarterly amount set forth under the Location Allowances menu to the right.
- PARKING:
-
- Sana Leased Buildings: If you park in one of Sana’s leased buildings, Sana covers 100% of the cost of parking. Sana pays these parking costs directly through its building lease, so you do not need to incur any parking expenses or submit any expenses for reimbursement.
- PUBLIC TRANSPORTATION:
-
- Public Transportation, Rideshare, Scooter/Bike Subscription, and Related Parking: Expenses incurred for (i) ORCA, BART, T-Line, and other public transportation passes (“Transit Passes”), (ii) rideshare or scooter/bike transportation, and/or (iii) parking at public transportation locations, will be reimbursed up to the cost of the designated monthly rate at the employee’s work location (see table below).
- Sana-issued pre-paid Transit Pass: Each Sana location may offer monthly pre-paid Transit Passes for various transportation options up to the maximum allowed monthly reimbursement amount (see table below). If you choose to use a Sana-issued pre-paid Transit Pass, or obtain one on your own, the amount of your pass(es) will be counted against the amount you are eligible to receive in monthly reimbursement based on your work location (see table below).
- BIKING, WALKING, RUNNING: (see drop down menu above for more details)
Working Late?
Employees required by their manager to work onsite after 8:00 p.m. can submit for reimbursement expenses for ridesharing or cab rides home. This amount will be reimbursed in addition to the regular commuter reimbursement described above.
Weekend and Holiday Work
In certain circumstances, employees may be required by their manager to work onsite over the weekend or on Sana holidays. In such a case, if your regular method of commuting to the office is not available or a viable option (e.g., due to limited train schedule or bus availability) and you are required to incur additional costs to commute to the office, you may submit these additional costs for reimbursement with prior approval from your manager
Employees are expected to use good judgment in the selection of ridesharing and cab options; employees should generally take the most cost-effective option unless circumstances require otherwise.
EXPENSE REIMBURSEMENT
All requests for reimbursement must be submitted through Concur. Employees must provide a valid receipt for all expenses incurred. Requests for reimbursement for regular commuter benefits must be submitted on a quarterly basis for eligible expenses incurred in the previous calendar quarter, within 30 days after the end of such calendar quarter. Requests for reimbursement for other expenses permitted under this Program must be submitted promptly after incurring the expense, and in any event within 30 days.
